本篇是我個人在外商公司對於英文書信的歸納學習筆記,整理了許多過去信件往來所查詢使用的字句與資源。

商業英文書信往來並不求文情並茂,而是如何以最精簡的文字,並切中要點的表達所要傳遞的訊息給對方,重點訊息記得一個主題要分一段,如果在一封郵件裡要討論三個不同事件,就要分成三段,這樣對方才會一目瞭然。

以下通篇瀏覽、融會貫通保證英文書信無往不利,或可善用下方「目錄」,比對信件位置,並點選需要撰寫的情境作為查詢使用。

信件主旨


關鍵字或表達信件的重要性與急迫性,前方可用中括號標註,後方再加入信件主旨。

標註專案名稱

在前方中括號內標註自家公司名,對外廠商聯絡時可方便對方辨識。

根據信件性質與不同對象,會使用不同的稱呼:

一般信件往來

Hi Yang,
Hello Yang,
*為非正式用法,多用於較熟識對象,語氣較為輕鬆自然。

正式信件往來

Dear Yang,
Dear Mr./ Ms. Yang,
*為正式用法,適用於大部分情況。

開頭問候該使用Dear還是Hi?

關於要用 Dear 還是 Hi 這個爭議,我也是信寫了好一陣子才慢慢領悟,這就好像中文在打招呼時說「您好」還是「你好」一樣,溝通的重點在「人」,表達自然會因人而異,說話如此,寫信也是如此。

使用Dear:有人認為專業正式有被尊重感,也有人認為過時嚴肅有距離感。
使用Hi:有人認為語氣親切口語輕鬆自然,也有人認為是在裝熟不被尊重。

因此,這並沒有所謂的標準答案,選用時可從「溝通對象」、「內容性質」與「文字語調」來判斷如何表達。

寄件對象未知

Dear sir / madam,
*過去較常用,現為老式用法。(sir用於男性,madam用於女性)
To whom it may concern,
*連對方性別都未知且用在正式的情況下,可使用此稱呼。

寄件對象有兩人以上

Hi Yang and Aaron,
Dear Yang, Aaron, and Jerry,
*可直接寫出姓名,細心點的話可將職務越高的放在越前面稱呼。

*請注意:
Dears,
Dear Both,
以上兩者皆非正確用法,與國外信件往來應盡量避免使用。

寄件對象為一個團體

開頭問候語


如果與寄件對象並非第一次信件往來的話,國外習慣在郵件開頭先加一兩句問候語,就好像兩人見面時先寒暄一下,不會劈頭蓋臉連句好都不問就開門見山提出個人意見、問題或要求,感覺像是對方欠你的一樣。

也許有人不會在意這個細節,但如果遇到會在意禮節的人或是正好忙翻天又看到這種直接丟問題過來的信,可能連回信都不會想回了吧?

如果之前聯繫過,也可盡量把上一次聯繫的郵件翻出來,接著那封郵件寫,這樣別人即使一時沒反應過來你是誰,看到之前的歷史記錄也會想起來。

以下整理幾個可以放在信件開頭的問候用語類型,視情況輪流使用,可避免給對方一成不變的感覺:

*在信件開頭表達感謝,是為了向對方先前的行動(協助)道謝。

告知對方為何寫這封信

如果寄件的對象是鮮少往來戶,建議載明寫此封信的目的,幫助對方快速進入狀況。
例如:
I am writing (this email) to ask about… (後接名詞)
I am writing (this email) to ask if… (後接子句)
I would like to… (後接原型動詞)→此句為委婉的表達want的意思

Yang-Notes:電郵經常看到in reference to, about及regarding等字詞,意思皆為「有關」,但in reference to 比 regarding 更爲正式,且兩者又都比about 更正式。所以無論是官方電郵、商業電郵或正式會議上,都可用in reference to 和 regarding。

通常 in reference to 用於「說明已經跟對方提過的事」,regarding 的用法比較廣泛。除此以外,還有其他選擇,例如:concerning、in connection with、with reference to、in relation to等。

如果想適當地私人一點的話

以下我會就個人目前在商業書信往來常會遇到的幾種情況做一個整理,後續也會持續更新:

情境一、商務會議

召開會議
I would like to call a meeting to discuss…
(我想召開會議討論…)
I want to talk to you over the phone regarding the new project.
(我想跟你電話討論新專案)
I would like to call a meeting in the afternoon about our new project.
(今日下午我想就我們的新專案開會討論一下)
*Yang-Notes:召開會議的固定用法是 call a meeting,而open a meeting並非召開會議,而是宣告會議開場,意思有別。

安排會議
arrange / organize / schedule / set up (安排) a meeting
Can we schedule a meeting sometime next week?
Could you organize a conference call this Friday?
I need to set up a meeting with our project team on 06Aug2021.

詢問對方在某時間是否可以與會
Is there any chance of scheduling a meeting this Friday?
Are you free / available on 06Aug2021?
Can we meet on 06Aug2021?
Is next Friday morning good for you?
I suggest we have a meeting on 06Aug2021. Please let me know if the date is okay for you.
Could you please let me know if you are available for a meeting on 06Aug2021?
How about Friday morning, say 11:00 a.m.?
*Yang-Notes:這裡的say,意思是「比如說;例如」,常用作插入語。

※對於國外而言,在請求別人做事的時候,將Please用在句首的語氣聽起來是比較強的,給人感覺像是命令。因此,通常會在前面加上Could you please,會比較有禮貌些。

詢問對方何時可以與會
What time do you have in mind?
(你想要在何時開會?)
Can we find a time to meet?
(我們可以找個時間開會嗎?)

如果對方提出的時間是允許的
Sure, (date / day / time) is fine with me.
(date / day / time) sounds good.
Yes, (date / day / time) works for me.
Great, I’ll see you (date / day / time).
That time is perfect. I’ll talk to you (date / day / time).

如果對方提出的時間無法配合
I’m free (date / day / time), but not (date / day / time). How about (date / day / time), instead?
I’m afraid I’m tied up (date / day / time).
Sorry, (date / day / time) is impossible for me. Another time is preferable to me. Can we make it for another time?

提醒何時有會議
I am writing to remind you that there is a meeting on 06Aug2021 at 11 a.m. in somewhere.
(我寫信是為了提醒您在2021年8月6日上午11點於某處有一場會議)

cancel (取消) / postpone (延期) / reschedule (重新安排)
We need to postpone the meeting until next week.

*Yang-Notes:會議紀錄不說notes或record,而是minute,即時間單位「分鐘」。

*Yang-Notes:會議出席會慣用attendance,而participate雖然也有參與的意思,但更強烈的意義是置身其中參與討論。

情境二、感謝對方

感謝對方來信詢問自家公司服務或自己的意願
Thank you for contacting us. (後可接about / regarding…帶出信件主題)

感謝對方回覆自己先前的郵件
Thank you for your prompt reply. (對方在短時間回覆)
Thank you for getting back to me. (若對方回覆並非即時)

*此句意味著自己提出的請求是很重要的,希望對方能夠特別留意

*如果己方做了或要求某件可能給對方帶來不便的事,可用這句話來提前表達謝意

*當你要求某件事或某個機會時,提前感謝對方的考慮

較正式的用法
This is to confirm that I have received your email.
This is to acknowledge receipt of your email.
(確認已收到您的郵件)

(我已收到你的回覆,並很快會回覆你)

如果對方是回報一些更新的資訊或消息
I am delighted that it worked out and appreciate the update.
(我很高興這行得通並且感謝你的更新)
Thanks for the update on the situation/issue.
Thanks for the updated information.
*以上兩句,用於兩人的書信往來討論比較具體的事情時,對方給予回應和新的進度,適合用situation和issue來代指事情,用updated information來形容對方所回覆的內容是更新的消息及資訊。

如果是回覆熟一點的對象可用
Noted.
(收到了/知道了)
Well noted.
(來信收悉)

*note還有一個用法也經常用在email,就是as noted,意思是「如前所述」。
例如:
As noted in my earlier email…
(就像我之前email提到的…)
As noted above…
(如我前面所述…)

Yang-Notes:需注意與Well noted相似的Well received並非是表達「收到了」的意思,Well received多用於演講或作品收到很好反應時的回應,指的是「被認同,或者被檢視過之後得到認可」。所以當我們用 Well received就會變得「你認同對方觀點」,而不是「我已收到」。

情境四、有附加檔案

(我附加了檔案供您參考)

Yang-Notes: 請注意,沒有Please be noted這種用法,以Please開頭的句子是祈使句,主詞You省略了,Please note是請對方注意,說「請被注意」語意並不通。
Yang-Notes: 請注意,Please be reported的意思是「對方被告發」,而非「向對方報告」之意,須避免誤用。

情境六、要求或提醒對方做事

*Yang-Notes需注意,appreciate這個字後面是用來感謝「一件事情」,而不是感謝「人或對象」。appreciate是一個及物動詞,後面需要有受詞,因此,如果後面是加if引導的子句,則需要在if前加上it,以虛主詞it表示被感謝的事。

I would appreciate your immediate/prompt attention to this matter.
(很希望你能儘快關注此事)

*Yang-NotesKindly當副詞時,可以用來緩和語氣,此處的Kindly相當於Please。單獨使用kindly或please都可以,但如果併用,就多此一舉了。但也有人認為kindly並不是很客氣的說法,本身有種不滿的意味,語氣也較please來得強,是較強烈的要求。因此,要客客氣氣的說「請」,please會比kindly來得簡單且自然。

*Yang-NotesWill/Would you mind…這個用法其實有「要求對方照做」的意味存在,使用不當容易使對方覺得不禮貌,因此建議可以改用Could you或是Would you的用法,既能表達要求又能不失禮貌。

(你可以…嗎)
*Yang-Notes用問句來表達你的請求,是比較有禮貌的方式,可多使用情態動詞would、could和can。

(簡短的通知,提醒你…)
Just a friendly/gentle reminder to…
Just a kind reminder to…
(只是善意地提醒…)

Yang-Notes:請注意,通常形容作為名詞的reminder (提醒)只會用kind reminder,而不會用kindly reminder。但如果用kindly會改為kindly be reminded或be kindly reminded,譯為給對方友善的提醒,原因在於:雖然kindly也可作為形容詞使用,但更常被理解為副詞而後接動詞。

情境七、禮貌催促對方作業

Would you please check my email below and provide your opinions at earliest convenience?
(您能在下方查看我的電子郵件並儘快提供您的意見嗎?)

Yang-Notes…at your earliest convenience是最禮貌的請求快辦,適用於給歐美英語母語人士發請求,這是因為其他人士有可能會把這句誤解為at your convenience 或者when convenient to yourself當你方便的時候,這樣反而會產生反作用,畢竟你是希望對方快速處理需求的。

情境八、需要更多時間作業

As (原因), I might need one more day for (事務). I’ll complete it asap but just in case I need one more day, I hope you can grant me the approval.
*這是禮貌向對方請求延長期限許可,常用於國際事務交辦的情況。

情境九、提醒對方遲未回覆信件

詢問對方是否有查看信件,並於其後說明原因:
I was wondering if you have had a chance to look at the email below yet.
(我想知道您是否有機會查看下面的郵件)
Just checking that the email I sent you on [date] is okay. I have to [do something] with your feedback before I can [do something else].
(只是確認一下我在[日期]發送給您的信件是否正常。在我可以[做其他事情]之前,我必須先根據您的回覆來[做某件事])
May I know if any updates for my request below? Thank you.
(我可以知道我下方的請求是否有任何更新嗎?謝謝你)

直接告知未收到回覆:
We have still not received a response from you.
(我們還未收到您的回信)

請對方提供能夠執行的期限:
Could you let me know when you will be able to do this?
(請告訴我何時可以執行?)

設下期限,讓對方知道在期限內需要回覆:
Please send us the desired date by (date/time).
(請在…前回信)

(請在…前回覆)

(請於…前讓我知道)
*Yang-NotesKindly當副詞時,可以用來緩和語氣,此處的Kindly相當於Please。單獨使用kindly或please都可以,但如果併用,就多此一舉了。但也有人認為kindly並不是很客氣的說法,本身有種不滿的意味,語氣也較please來得強,是較強烈的要求。因此,要客客氣氣的說「請」,please會比kindly來得簡單且自然。

*最後,建議在查詢進度後可留下這句,關心對方是否有什麼困難或苦衷:

*Yang-Noteslook forward to後面須接Ving或名詞,如選擇使用「現在式」的句型(looking forward to),就有表達「強烈期盼」的催促感。

*Yang-Notes:At your earliest convenience雖然常用,但不及as soon as possible來得直接。

Yang-Notes對於國外而言,在請求別人做事的時候,將Please用在句首的語氣聽起來是比較強的,給人感覺像是命令。因此,通常會在前面加上Could you please,會比較有禮貌些。

情境三、希望對方幫忙並予以感謝

Thank you.
*這是最簡單的結束方式,不會有任何冒犯之處。
Many thanks.
(非常感激)→這是比較正式的說法,適合用於電子郵件中。

*以上幾個也是最基本也比較正式的說法。

*Yang-Notes請注意,appreciate這個字後面是用來感謝「一件事情」,而不是感謝「人或對象」。appreciate是一個及物動詞,後面需要有受詞,因此,如果後面是加if引導的子句,則需要在if前加上it,以虛主詞it表示被感謝的事。

(如果您能幫助解決這個問題,我將不勝感激)
*用法可為:It would/will be (highly/much) appreciated

*此句即表達即使對方不能幫忙,對對方收覆郵件的時間與精力的付出也深表感激,是相當禮貌的表達方式

*當向對方提出要求,可以用這樣委婉的方式結束。基本上是在告訴對方,不論對方是否同意,都會尊重對方的決定。
Let me know if it isn’t feasible by [date], and I’ll see what I can do.
*這是對於自己逕行報告的內容或提出的要求可能不合時宜時的用法,如果對方覺得不可行也不太會對你的要求直接說不,頂多就是在設定的期限前給予其他的建議。

(再次感謝您所做的一切)→這句用於信件開頭已經表達感謝,而最後想再次感謝對方過去所做的努力。

*在信件結尾表達感謝,往往意味著提前向對方後續的行動(協助)而道謝。

Yang-Notes:請特別注意,常出現在商業信件文末的Thank you in advance (先謝謝你了),其實對於外籍人士而言是一句引人反感的表達。例如:Thank you in advance for your cooperation.

因為這種寫法已經假定別人一定要幫忙不可,給人自以為是且冒昧的感覺,建議移除in advance這兩個字眼,或是使用以下用法代替:

  • Thank you for considering my request. (謝謝你考慮我的要求)
  • I will be grateful for any help you can provide. (我很感謝如果你可以提供協助)
  • I will appreciate your help with this situation. (我會感謝你願意幫忙)
  • I hope you will be able to provide the information. (希望你能提供更多資訊)

情境六、與對方保持聯繫

I look forward to seeing you.
(期待與你見面)
I look forward to a successful working relationship in the future.
(期待未來有機會合作)

情境七、客氣道歉類

(對於由此帶來的任何不便,我們深表歉意)

收尾祝福


西方文化的客套收場也同樣適用在電子郵件的商用書寫,如果感覺對了就在信件的結尾也補上以下幾句收尾的祝福吧!

Have a wonderful weekend!
*適用在即將週末的週五
I wish you a good day!
*適用在平日早晨發信
Have a good week.
(祝你有美好的一週)
Stay safe and healthy.
*適用在疫情期間
Stay warm and have a lovely holiday!
*適用在冬天即將放國定假期的時候,希望對方注意保暖並且預祝假期愉快

Yang-Notes:請注意,I wish you have a good day是錯誤用法,因為wish後面直接加一個名詞當作受詞即可,不需再多加一個動詞,若真的希望將動詞接在wish後面,可以在動詞前加上to,就會變成不定詞(to+動詞),不定詞可以當做名詞來使用:
I wish you have a good day. (X)
I wish you a nice day. / I wish you to have a nice day. (O)

信末敬語


正式書信往來都要加信末敬語,注意開頭記得要大寫,後方加逗號,下面接自己的名字。

簽名檔


一般我們會先在信箱中內建簽名檔,並載明自己的名字職稱公司聯絡資訊,並於前方加上信末祝福語。如此一來,每次寫信就不用再重複寫一樣的資訊。

例如:

Yang-Notes:署名時,如果對方算是比較熟識的人,可以只留單名。但如果是正式郵件或不熟識的對象,建議留全名加姓氏。
